Want to speed up mechanic log-on times? Open Security, click on 'Parts & Service' and set each Mechanic to 'Mechanic PW not required". Now on the RO screen, the mechanic needs only to type M and his employee number (M013 for employee 013) and the screen will quickly display all ROs that he is assigned to.

Customize your parts and service menu tree. If you have options on your menu that you do not use, you can make them invisible. Remember that these settings are for your user only and won't affect the entire system. In the parts and service module, click "Tools" and "Setup P&S Tree." Just check or uncheck the options you want displayed.

When in F&I/Deal Desking and you wish to print a copy of the screen for your customer, click "File" and then click "Print Screen." The system will send the image directly to the printer (in color), eliminating the need to copy and paste the screen image.

Unit Inventory Internet Tab. This tab is used to over-ride information on the standard RV or Travel Trailer tab. It comes into play, when internally you abbreviate or use codes to describe a unit. For example, the unit type might be FW but you want Fifth Wheel to appear on your website. For faster input, click on the button labeled 'Show Internet Grid'; this will put your units into a spreadsheet format for quick and easy input.

Finance Forms: to preview the form on screen before printing, hold down your control key and click 'Print.' This is especially useful with laser forms.

Security levels can now be assigned to e-mails and e-mails can be marked as private. Set a security level between one and ten and only personnel with a security clearance equal to or greater will be able to read the e-mail. You can attach an e-mail to an entity and restrict the viewing of that e-mail to authorized users. Also, you can mark an e-mail as private which stops the email from being read by someone other than the intended recipient.

Payroll Users - Purchase your laser W2s from your local office supply store before they run out. Click the 'Print Year End Tax Forms' button and answer 'Yes' to the print the W2 instructions. You will then know beforehand the steps for printing the employee W2s and employer W-3.

Infinity Users: To quickly update the quantity on hand of a part without doing a parts physical, recall the part, click on the Bin Location tab, and at the bottom of the screen you will see two fields and an Update button. If you have security permissions to do so, enter the correct quantity on hand, type a comment related to this change, and click Update.

You can push a trade unit to inventory and mark the retail unit as sold even before the deal is closed out. This is especially useful if you want to start a customer pay ticket on a unit, and the finance department hasn’t fully closed out the deal.

Excel Spreadsheets – you can customize your Dealer 20 Group Statement by adding your own pages into the spreadsheet. Just reference the data page where the raw data is displayed. This raw data appears in the same cell every time you open the spreadsheet. As an example, on your custom page just insert =Data!O142 into a cell. “Data!” is the page, "O" is the column, and "142" is the row or line. Just replace the O142 with the column and row that you want to use.

Deal Desking and F&I. After the customer has left the finance office, click the 'View' button at the top of the screen, then click 'Scan.' You can then scan the signed documents and they will remain attached to the deal for easy recall.

Infinity users, Custom filters. When a grid or list view is displayed, you can click on the filter or funnel icon (looks like an upside down triangle). When the filter options appear, click ‘Custom’. You can then select up to 17 different operators such as ‘equal to’, ‘not equal to’, or ‘starts with’, etc. Next you can enter the 'operand' or what you want it to equal. Click ‘Add Condition’ to create multiple filter criteria. An easy screen to learn on is the vehicle inventory screen. Click ‘Search’ and then ‘List.' When the list grid is displayed, click the funnel and make as many custom filters as you like.

Infinity users: If you want to combine two part numbers on file for the same part, then from the Master Parts Inventory screen, recall the part number you wish to keep, click "Merge Parts" and select the old part number. The system will scan and change all invoices, POs, receiving tickets, and history files from the old part number to the new one.

Parts Invoicing now has a built-in Google Products search. You will see the Google Icon “G” to the right of the item description. Click the icon and it will launch a search for competitor pricing and information based on the description of the line item.

When entering Units (Vehicles, boats, trailers, etc.) that you already have purchased in the past. Just click Add to bring up a blank screen, then click File and Copy From. You will be prompted for the stock number of the unit you wish to copy. The system will copy all info except the serial number and whether it is New or Used. This is helpful when you have purchased a group of similar units and don’t want to re-key the same data.

If you need to contact Systems 2000 support, at the top of the screen, click Help and then click email support. The system will instantly display your email with a screen shot (picture of your screen) imbedded in the email. Just type a question and click send. This is also useful if you are going to call for support, since we will already have your information before you call.

When in need of parts information, use the price books feature. You can type a part number and the system will search not only your current inventory, but all price books from all suppliers and manufacturers. If the part isn't in your inventory, just click add to inventory or add it to a list that will drop on to your invoice screen.

Pre-Authorization. Open an RO or parts ticket, and at the top of the screen click on Programs/Pre-Authorize CC. Swipe the credit card and Infinity will post a temporary charge for the amount of the RO. On the RO screen there is a tab called Additional Information (bottom right). This tab displays the pre-authorized card information. When the work is completed, the cash out screen will not need the credit card information. Just click "Process" (or select a different pay type); Infinity will then convert the charge from temporary to permanent and automatically deposit the money into your account.

After creating a Parts Purchase Order, click the email button and email it to your supplier or your own accounting department, even if you have electronically submitted or faxed it. The Systems 2000 CRM program knows that email is related to the PO supplier, and it doesn't matter who the email is sent to; the CRM will put a copy of that email in the suppliers file.

For high dollar parts and service tickets, click on programs and select the option Pre-Authorize Credit Card. The system will apply a temporary charge to the customers card. When the work is done, you can use that authorization or cancel it, if the customer wants to use a different form of payment.

Input your 'We-Owe' information on the deal desking accessories tab and click 'Send to Service'. The "We-Owe' will appear on the service advisors screen and you no longer have to write up or print a We-Owe; plus the service department cannot say they didn't receive the paperwork.

Easily cross-reference your prospect database with the National Do Not Call List in seconds. It is important to ensure your prospect database is current with the National Do Not Call List to avoid angry prospects and/or hefty fines. To do this, simply click on the Miscellaneous button at the top left of your CRM screen and then on Synchronize w/ National DNC Registry.

When receiving inventory, if the cost of an item increases or decreases by 20 percent or more, Systems 2000 software will display a yellow alert flag. If you see this alert, verify your input. This will keep your inventory values in check.

All Systems 2000 Dealership Software Parts and Service invoices print with a barcode on them. To quickly recall an invoice, simply scan the barcode from the main Parts and Service screen and the invoice will immediately be opened.
